1. Who we are

VolkCell Technologies Ltd ("VolkCell", "we", "us") operates the volkcell.com website and the VolkCell platform at app.volkcell.com, and is the data controller for the personal data described here. We are VOLKCELL TECHNOLOGIES LTD, a company registered in Scotland, company number SC895619, registered office 5 South Charlotte Street, Edinburgh, United Kingdom, EH2 4AN.

2. Data we collect

• Account data: name, email address and institution when you create an account.
• Images and results: the microscopy images you upload, and the masks, measurements, reports and exports we produce from them.
• Requests and chat: what you type to the assistant and the analysis plans built from it.
• Usage data: pages visited, features used and your analysis history.
• Payment data: handled by our payment processor. We never see or store your full card details.
• Contact data: name, email, institution and message when you use our contact form.

3. How we use your data

• To run the analyses you ask for and show you the results.
• To check result quality automatically. Some images, result overlays and chat messages are sent to an AI model provider to review segmentation quality and to answer your questions in chat.
• To process payments and manage your subscription.
• To respond to support requests and send service emails (for example account confirmations and usage alerts).
• To understand how the platform is used and improve it.

We do not sell your personal data. We do not use your images to train our models unless you choose to, for example by training a custom model on your own images in the app.

4. Who processes data for us

We use these categories of providers, each acting on our instructions:

• Database and authentication: account and application data, hosted in the EU.
• Application hosting and storage: the app, your images and your results.
• Image-analysis compute: GPU processing of your images.
• AI model provider: automated quality review of results and the chat assistant.
• Payments: subscriptions, invoicing and fraud prevention.
• Analytics: cookie-free website statistics, and product analytics (see section 8).
• Email and forms: sign-in emails, service emails and contact-form delivery.

5. Where your data is processed

Account data is stored in the European Union. Images and results are stored by our hosting provider and processed by our compute and AI providers, some of which are located outside the UK and the European Economic Area, including in the United States. Where personal data is transferred outside the UK or EEA, we rely on the safeguards UK data protection law requires, such as the UK International Data Transfer Agreement or standard contractual clauses. Data is encrypted in transit, and access to production systems is restricted to authorised personnel.

6. How long we keep data

• Account data, images and results: kept for as long as your account exists, so you can return to them. We do not delete them automatically. Incomplete uploads and internal diagnostic copies may be removed sooner.
• Deletion on request: you can ask us to delete specific images and results, or your whole account, at any time (privacy@volkcell.com). We delete them within 30 days of your request.
• Payment records: kept as long as UK tax and financial rules require.

7. Your rights

Under UK GDPR and the Data Protection Act 2018 you have the right to:

• Access the personal data we hold about you.
• Have inaccurate data corrected.
• Have your data deleted.
• Object to or restrict processing of your data.
• Receive a portable copy of your data.

To exercise any of these rights, email privacy@volkcell.com, use our contact form, or write to our registered office. You also have the right to complain to the UK Information Commissioner's Office.

8. Cookies and local storage

We use essential cookies and local browser storage to keep you signed in and remember your choices, including your cookie consent. In the app, optional product analytics load only after you accept them in the cookie banner. On the website we use cookie-free Cloudflare Web Analytics, and product analytics that store a first-party identifier in your browser.

9. Changes to this policy

We may update this policy. Material changes will be announced by email or on our website, and the "last updated" date above shows the latest revision.
